1) What is the difference between this service and the script at my webhoster?
In contrary to most form handling scripts, you don't have to put your email address into a hidden input of the form. It is hidden in our database, and not accessible for anybody. If your address is contained in the form, it will be accessible for robots which are designed to collect such addresses. Once your address has been collected, you will receive many unsolicited messages (SPAM). You can avoid that by using this service.
Not only is your email address protected from any access, also your form is protected from unsolicited bulk submissions. We have built in mechanisms that detect and block bulk submissions which are considered as SPAM.
You can use the SSL protocol without having to buy your own certificate or pay high webhosting fees. Any part of the data submitted through your form can be encrypted, both in the email deliveries and in the database.
This service is connected to a database where submitted data can be stored. You can browse through your data, search or delete particular submissions, and download tab-delimited files, which can be imported into your spreadsheet or PC database. This allows for a very efficient and secure data management and processing.
Our email functions are very flexible. We can put your visitor's email address into the FROM field of the data deliveries, which makes it easier for you to reply. Response emails can be automatically sent to your visitors. These messages are also fully configurable. You can define the subject, the email address to put in the FROM field, a long message text, and whether the submitted data is to be included.
Finally, using a web interface is much easier and less error-prone than editing configuration files. It hides more of the details of the underlying program and lets you concentrate on the aspects that are important to you.
2) What is the exact content of the email deliveries?
Each email delivery contains the following data:
- your form number
- your form name (if defined)
- the total submission number
- the number of visitor submissions in the current month (with the standard service plan only)
- the time when the form was submitted
- the IP address from which the form was submitted
- the encryption key number if the message contains encrypted data
- the result of sending the automatic response email to your visitor (if applicable)
- the name/value pairs for those inputs of your form which have not been explicitely excluded (in the order they appear in the form)
3) How do I configure my form for file uploads (attachments)?
You must set the ENCTYPE attribute of your form tag to:
<form ENCTYPE="multipart/form-data" ...>
An input field for a file attachment with a browse button is defined as follows:
<input type="file" name="...">
Please note that the maximum size of the attachments is 1 MB.
4) What is the format of the download files?
The download files contain one line per submission. Inputs of the same submission are separated by the tab character. The first line is a header line containing the input names. In addition to the inputs on the form, the system can add the submission number, the submission time, the IP address from which the form was submitted and the encryption key number. You can define the order of the columns and which columns should actually be included in the files.
5) How are the submissions stored in the database?
The submissions are stored as a table. Each submission makes up one row. Each form input corresponds to a column. Up to 4 standard columns can be added:
- the submission number
- the submission time
- the IP address from which the form was submitted
- the encryption key number
You can define the order of the columns and which columns should actually be displayed and downloaded.
6) What is the advantage of hosting my pages and images on your server?
This feature is especially interesting if you use SSL. Your visitors should feel secure before they start entering data into your form and until they have seen the response page. That is why both your form and response page should be hosted in the secure area. If your hosting service does not support SSL, you can host your pages on our secure server.
If your page is in the secure area but its images are not, this will be reported by a pop-up message whenever the page is displayed. You can avoid this pop-up messages by hosting also your images on our server.
7) Why should I encrypt my data?
Encryption is especially recommended for the sensitive parts of your data in the email deliveries. Email messages could theoretically be intercepted when they are transported over the internet. It makes no sense to use a secure form, and then send all data unencrypted over the internet. In the database, encryption is not really necessary. You can use it if you just feel more secure.
8) When should I use the function which moves the data from one column in the database to another column?
This function can e.g. be used when the name of a form input has been changed. The old data in the database will still be contained in the column with the old name before executing this function. With this function you can move the data to the new column. The old column will automatically be removed.
9) What is the maximum number of data recipients?
The maximum number of data recipients is 5.
10) What are the rules for building the password?
The password must be at least 6 and no more than 20 characters long. It may only contain letters and digits.
11) What happens when a form submission fails?
One of our error pages is displayed when a form submission fails. The advantage of showing our error page and not yours is that we can give an exact indication of why the error occurred. Our error pages do not contain any information about where the page comes from. Once your form is set up correctly there should be no failures any more.
12) What technologies are used for HForm.com?
The site runs on a Linux server with the Apache web server, including the Mod_SSL module and the OpenSSL interface. The database is MySQL.
